About the Client

The client is a fast-growing, multi-brand consumer goods manufacturer and direct-to-consumer (D2C) retailer. It operates four regional distribution hubs and processes over 15,000 orders daily across multiple digital storefronts.

The Challenge

The client’s disconnected IT architecture was blocking its commercial growth. They had a high-volume e-commerce storefront, which was completely isolated from their core ERP. Consequently, their operations were suffering from severe coordination friction.

They approached Aegis Softtech to deploy an automated Dynamics 365 integration that links frontend storefronts to their backend supply chain with sub-second data synchronization speed:

  • Slow Manual Order Entry: A dedicated administrative team was manually exporting transaction CSV sheets and re-typing thousands of daily sales orders into the warehouse database. This was stalling shipment preparation.
  • Costly Stockout Discrepancies: The client’s stock levels only synced once every 24 hours. This means their shoppers frequently purchased items that had already sold out at the warehouse, causing heavy refund overhead and poor reviews.
  • Fragmented Order Tracking: Their customer support agents were lacking live visibility into warehouse fulfillment. They were unable to provide accurate shipping status updates to anxious buyers on the spur of the moment.
  • Data Errors: They were manually copying data, which was causing human errors in delivery addresses and SKU selections. It resulted in a 4.2% order return rate due to fulfillment mistakes.

The Solution

Our Microsoft Dynamics 365 architects utilized Microsoft Azure to design and deploy a secure integration pipeline. This helped automate the end-to-end order-to-shipment lifecycle.

Bidirectional Real-Time API Integration

We built a resilient integration layer to connect the storefront directly with the backend ERP:

  • Automated Order Ingestion: We used Azure Logic Apps and secure API management gateways for a high-speed data flow that automatically routes new e-commerce transactions directly to Dynamics 365 Supply Chain Management.
  • Sub-Second Inventory Syncing: We configured custom webhooks to trigger real-time warehouse inventory updates to the e-commerce storefront.

Intelligent Fulfillment Orchestration

We automated warehouse logistics and client communications:

  • Dynamic Shipping & Allocation: Our team connected the incoming order pipeline to the client’s third-party shipping software. This includes automated label printing, tracking number assignments, and packing routing.
  • Instant Tracking Push: We programmed a secure feedback loop that automatically transmits completed tracking details from Dynamics 365 back to the retail front-end. It triggers instant shipping emails to customers.

The Results

Our real-time Dynamics 365 services yielded immediate improvements in delivery speed and business agility:

What Made the Difference?

Single Accountable Team

Our team handled everything, beginning from API schema designs to functional testing. This eliminated vendor runarounds.

Intelligent Error Queuing

We built an asynchronous queuing mechanism to temporarily store orders in case the client’s storefront experienced network drops. This further ensured no transactions were ever lost.

Pre-Production Simulation

Our experts ran high-volume load simulations to imitate peak seasonal traffic. This helped verify system speed and structural durability before launch.
